Choosing between a custom CRM and a SaaS CRM like HubSpot, Salesforce or Zoho depends less on brand reputation than on your actual cost structure and how much customization you need. Here's a factual comparison, without vendor bias — including the cases where SaaS remains the better choice.
These are generalist CRMs, built to cover as many use cases as possible: contact management, sales pipeline, marketing automation, reporting. Their strength is speed of setup — an account can be created in minutes — and an ecosystem of ready-made integrations (email, calendar, advertising). Their limitation: you pay for the whole package, even if you only use a fraction of the features.
A custom CRM starts from the other direction: it's built around your actual process, not a fixed product. In practice, that means only the screens and automations your team needs, native integration with the tools you already use (WhatsApp Business, invoicing, ERP), and no unnecessary features to navigate day to day.
A SaaS CRM bills per user, every month, indefinitely — plans with advanced automation get expensive quickly as the team grows. Over 3 years, a team of 10 can easily exceed the cost of an equivalent custom CRM, which remains a one-time investment (aside from future changes you decide on yourself). The tipping point mostly depends on team size and expected duration of use.
For a very small business, a standard need (no specific process), or a limited starting budget, an entry-level SaaS CRM is often still the most rational choice. There's no point over-investing in custom if a generic tool already covers 100% of the need.
